Decide whether the underlying platform needs to change

ShiftCare’s scheduler supports recurring shifts, availability, draft schedules and a job board. Staff can receive assignments and updates through the caregiver app. The operational attraction is keeping these records together rather than repeatedly copying a confirmed shift into other tools.

Start with the last three scheduling mistakes your office corrected. If the problem was an incomplete availability record, conflicting office edits or a timesheet that disagreed with the schedule, a platform evaluation is sensible. If those records are already reliable and the remaining burden is phoning caregivers after a call-off, an outreach pilot may address the narrower problem with less migration work.

Evaluate SmartMatch beyond a ranked list of caregivers

SmartMatch describes matching workers against qualifications, availability, client requirements and costs. It can offer declined shifts through the job board. This is more than a calendar, but a matching recommendation and a completed caregiver conversation are different steps.

Use a real replacement shift in the demonstration. Ask staff to explain why the highest-ranked worker qualifies, whether a stale credential removes that worker and what happens when the selected person declines. Include an expensive but familiar caregiver and a cheaper eligible alternative. Your policy should determine the decision, with a clear route to an office override. Record the number of unresolved exceptions as well as the number of shifts offered.

Follow the assignment through visit verification and billing

ShiftCare’s US EVV materials describe GPS and offline visit capture, exception handling and links between visit data, authorizations and billing. Its own FAQ directs agencies to confirm their state and aggregator setup; a general EVV label is not proof of every payer connection.

A useful pilot ends after the office has corrected an exception and produced its billing output. Deliberately change an arrival time, work without connectivity and cancel part of a shift. Check that the correction retains a reason, reaches the relevant downstream record and remains understandable to a second administrator. This tests whether a scheduling improvement also reduces reconciliation work.

Keep caregiver documentation in the evaluation

ShiftCare also publishes care-note and documentation features. Notes attached to the visit can help the office understand the service delivered, but buying a home care record does not by itself establish the clinical assessment, coding or reimbursement scope of a skilled home health EHR.

Give the same sample visit to a caregiver and an office reviewer. Check whether required observations are easy to find, a late correction is attributable and the next caregiver can distinguish the current plan from an old note. Agencies with both personal-care and skilled service lines should specify separate acceptance criteria for each team. Compare the complete operating cost

Public per-user pricing makes an initial budget possible. The starting plan is not necessarily the plan that contains the scheduling automation or billing connection being demonstrated. Request a written mapping from each requirement to the proposed subscription and any implementation work.

Model a quiet month and a busy month, including office users, part-time caregivers and people who remain on the roster without working. Ask how those users are counted. Then include the cost of migration, parallel payroll checks, staff training and support. A short trial is most useful when one coordinator and several caregivers complete a full shift cycle rather than only inspect the dashboard.
